The contractor workflow in six steps

Capture the customer and scope

Add the customer and job details by typing them in, starting from a template or trade calculator, or using AI and voice entry where your plan includes them. AI can help organize rough notes into a draft, but it does not know your job-site measurements or your rates — you supply those.

Review and price every line

Every line item stays editable: qty, unit, and rate are yours to set and change. Totals follow qty × rate, and pricing the job correctly is the contractor’s responsibility — the software organizes your numbers, it does not decide them.

Share the estimate

Send the finished estimate by email or share a secure customer link through the supported delivery workflows. Your customer does not need a QuoteAnvil account to open and review it.

Customer review and approval

From the shared estimate your customer can approve it, request changes, and sign when you have signature collection enabled on the document. Change requests come back to you so you can revise and resend.

Schedule and run the work

Put the approved work on the schedule and track the job. Depending on your plan and trade, ProjectForge tools can help manage project details, files, photos, and day-to-day execution alongside the estimate.

Convert to invoice and get paid

Convert the approved estimate into an invoice without re-typing line items, then track and record payments as they arrive. Customers can pay online only when you have connected your own Stripe account. For accounting, hand off data by CSV export, or use the QuickBooks integration where it is configured.

Honest limits, up front

Four things QuoteAnvil does not do, so you can plan around them instead of discovering them mid-job.

AI output is draft assistance

AI features produce drafts to speed up your typing, and they must be reviewed before anything goes to a customer. AI is draft-only and is not a source of measurements, quantities, or rates — you enter and verify every number yourself.

Terms and disclaimers you write, not legal documents

QuoteAnvil lets your business save reusable terms and disclaimers and attach them to estimates and invoices. QuoteAnvil does not provide legal advice and does not generate lien waivers or jurisdiction-ready legal documents — talk to a qualified attorney for those.

Online payments depend on a connected provider

Customer online payment is available only when you connect your own Stripe account; availability depends on that provider account. PayPal and Venmo are Coming soon and are not available for new checkout today. You can always record payments manually.

QuickBooks handoff has narrow scope

QuickBooks availability depends on your plan, provider, and account setup. Where configured, the implemented handoff covers customers and sent invoices. Available CSV exports cover other supported handoff needs. The QuickBooks handoff does not sync payments or perform automatic bookkeeping, and QuoteAnvil does not reconcile or manage your books.
